A story about my first online LLC briefing session

Online usage expands Wednesday, March 25, 2020

I learned a lot from holding an online company information session for the first time, so I wrote about the good points and areas for improvement of online company information sessions

What we usually use in our company

Although there are some issues with Zoom's security, it seems that the number of users has already exceeded 200 million, and I think it is the best tool for online events as it is a well-known tool that everyone has used. .

10 companies' time schedules are difficult

The time schedule page was quickly created using Google Site.

 

I was worried about what kind of time schedule I should use to have them listen to the explanations of the 10 companies.

If each company spoke for 30 minutes, it would have taken a total of 5 hours, so we decided to divide the discussion into two teams (Team A and Team B)

The explanation time into 15 minutes for each company , divided into the first half and the second half

As a result, most of the people gathered in the A team in the first half block, and the B team only had about 7 people.

It's natural for the first half to be Team A and the second half to be Team B, but since Beyond was Team B, I was quite nervous about the first half (lol)

Therefore, it may be easier for students to understand if the time schedule is set in one line rather than divided into teams, even if it is long. (I will continue to think about this issue as I work on it.)

I'm starting to feel anxious even though there are supposed to be participants.

I was explaining the company to about 70 students while sharing slides, but it was more difficult than I expected to just keep talking while staring at the materials I had created that filled the screen. is.

  • Students' cameras and microphones are both turned off, so their reactions cannot be seen.
  • I can't even see your nodding face
  • I'm starting to worry if my voice is really being heard.
  • I'm starting to lose track of what I'm talking about
  • My head is racing and I start chewing a lot

A phenomenon that would never occur at a normal company information session like this happens.

I may just have to get used to this, but I felt that I needed to come up with some countermeasures, such as creating materials for online explanations.

The final applause finally made me feel at ease.

Zoom has a feature called "Reaction"

 

At the end of the second half of the block, when I greeted the screen with no one's face on and said, ``Thank you for today,'' several applause symbols appeared.

That was the first time I was able to feel that the students were participating in the event, saying, ``I was there!''

If I could feel this at the beginning of the information session, I think my anxiety would have been alleviated.

So, when holding an online event, I recommend including something prefaced at the beginning

Voices from students and participating companies

We have picked up some of the voices of the students who participated.

Good points (student)

  • It was great to be able to hear all about the various companies that I was interested in.
  • it was very helpful to have the opportunity to listen to explanations from multiple companies who might not have been able to visit the booth.
  • I was less nervous and was able to be satisfied.

The most common comment this time was, ``It was great to hear stories from multiple companies all at once.''

The fact that they could listen to the talks from the comfort of their own home made it easier and more relaxing for them to participate.

What wasn't good (student)

I felt that it would be nice to be able to listen
to each company in more detail It was difficult to chat
in real time.・I felt that the microphone environment

The presentation time for each company was shorter than a normal company information session, so some people said they wanted to hear more details.

There are also some regrettable points in terms of the distribution environment, and I feel that we need to improve it from next time.

We also received opinions from representatives of participating companies.

Good points (company)

  • I thought it was a meeting that was beneficial for both students and companies because you could learn about a variety of companies at one meeting.
  • We were also able to encourage the participation of local students.
  • As a result of my participation, our company has moved its meetings and company information sessions online.
  • Speakers can also participate from home
  • Compared to regular joint briefing sessions, the time required for speakers on the day (including travel and waiting) was shorter.

It was a completely new way for company representatives to be able to give explanations from their homes.

I'm glad I was able to help you as I was told that this has led to more progress in going online within the company! I feel that.

Improvement points (company)

  • I wasn't able to take full advantage of the chat, so break the ice beforehand to the ZOOM chat and then start.
  • it is possible to interact in both directions, it feels relatively unidirectional, so it would be fun to have an interactive mechanism (voting function, Remo?)
  • I thought it would be good to have for students to understand IT work.
  • a question time after the company explanation and thoroughly answer the students' questions.

Unfortunately, I was unable to communicate with the students this time.

If you do it next time, you might want to try a more casual online networking event with student participation

Online benefits/challenges

These are the three benefits I felt when I tried the online joint company briefing session

  • Students can listen to stories from multiple companies without having to travel.
  • You both don't have to be nervous
  • Less time required

Our next challenge will be to solve these three issues first.

  • Prepare the minimum distribution environment (microphone/camera)
  • Utilize chat
  • Encourage participants' reactions and make it participatory

  • Increase the amount of information per slide page
  • Be aware of the speed at which you turn the slides.
  • Speak concisely

I feel that creating materials with this in mind is the key to keeping the listeners from getting bored.

Please keep this point in mind when using materials at online meetings or speaking at events.
